Started inside a specialty practice, built for yours.
VAST LLC (Virtual Assistant Services Team, LLC) is a healthcare staffing and placement agency that provides remote Virtual Assistants (VAs) to U.S. medical practices. Rather than acting as a direct healthcare provider or software vendor, VAST sources, vets, and manages administrative contractors who assist practices with day-to-day administrative and workflow tasks. Under its operational framework, client medical practices directly supervise the VAs, issue their system credentials, and sign individual Business Associate Agreements (BAAs) with them to maintain HIPAA compliance.
Why VAST
-
Slash Overhead & Manage Staffing: Drastically reduce administrative costs while providing reliable remote coverage that buffers your practice against onsite staff call-outs.
-
Accelerate Productivity: Clear admin backlogs faster by pairing your office with pre-vetted contractors who already speak patient care and understand your systems.
-
Simple, Flexible Terms: Streamline your operational workflow with zero friction and terms built to keep your practice agile.
Medical education first
Our contractors are medical professionals in the Philippines, and most of them are pharmacists. A pharmacy education gives a deeper grounding in medicine than many allied-health paths, which is a real advantage for clinical support work.
Trained on the EMR they know
Every assistant is trained on US electronic medical records, including ModMed.
Terms a practice can trust
There is one flat rate and no lock-in, so trying remote support doesn't become a long-term gamble.
- $10.50 flat rate
- Pay as you go
- Cancel anytime
A staffing agency, run the way a practice would want it
VAST recruits, prepares and places remote contractors. Your office gets a vetted assistant without taking on the hiring work.
-
1Recruit medical professionals
We recruit medical professionals in the Philippines, mostly pharmacists, to work remotely for US offices.
-
2Vet and train
Each contractor completes diploma and background checks, HIPAA certification and fraud, waste and abuse training. They also train on US EMRs, Google Workspace and Microsoft 365.
-
3Match and onboard
We match an assistant to your workflows and onboard them with your team, so they can support charting, phones and paperwork.
ModMed is a trademark of its owner. VAST, LLC is an independent staffing agency and is not affiliated with or endorsed by ModMed.

How are overseas assistants legally held accountable for data privacy?
Assistants operating from the Philippines are legally bound by the Data Privacy Act of 2012 (Republic Act No. 10173). This statutory framework enforces strict confidentiality standards, mandates criminal and financial penalties for unauthorized disclosures, and extends legal protection to international entities whose data is processed by Philippine citizens.
- Extraterritorial Jurisdiction: Philippine law explicitly applies to individuals handling sensitive health data generated outside the Philippines, holding overseas workers directly accountable under Philippine jurisdiction.
- Strict Penalties: Unauthorized disclosure, intentional data breaches, or misuse of health records carry severe criminal penalties under Philippine law, including mandatory multi-year imprisonment and substantial financial fines prosecuted by the Philippine Department of Justice.
How do VAST, LLC and its virtual assistants support HIPAA compliance and protect patient data?
Ensuring HIPAA-compliant operations remains the standard responsibility of the healthcare provider. To support your practice's compliance requirements, all VAST, LLC Healthcare Virtual Assistants (HVAs) complete HIPAA training and hold active certifications before placement. Additionally, candidates undergo background checks, including NBI clearance (the Philippine national equivalent of an FBI background check), prior to joining your team.
Do I need to sign a Business Associate Agreement (BAA)?
Yes. As the covered entity, you execute a direct Business Associate Agreement (BAA) with your assigned assistant. Because VAST, LLC operates strictly as a staffing and administrative facilitator, our management team does not access, store, or process your practice's Protected Health Information (PHI).
What administrative steps should my practice take when onboarding a virtual assistant?
- Signing a Business Associate Agreement (BAA): Execute a direct BAA with your assigned virtual assistant, establishing clear contractual obligations regarding PHI handling.
- Integrate your assistant into your existing practice management workflows as a standard authorized user subject to your routine HIPAA audit logging, password management, and role-based access policies.
How does my virtual assistant securely access our Electronic Health Record (EHR) system?
Practices typically grant EHR access using one of two secure methods:
- Direct Access: Create a dedicated user account with role-based security permissions directly within your cloud-based EHR/EMR system.
- Remote Desktop Connection: Configure a virtual local desktop within your physical clinic that the assistant accesses remotely via encrypted, secure connection protocols (e.g. Amazon Web Services, Cameyo, Dizzion Frame, Microsoft Azure).
Are VAs tracked for their work?
At VAST, LLC, we utilize dedicated time-tracking software to oversee work hours and maintain active productivity without compromising privacy.
Our tracking system logs operational hours and measures mouse and keyboard interaction to ensure team members remain engaged during working shifts.
How does time tracking work?
Assistants track time strictly while performing active work for your practice. Personal time, meals, and rest breaks are excluded from your billable hours.
You establish your assistant's weekly schedule directly based on your practice's needs, and your VAST team member will be online and available for those dedicated hours.
