What happens to the details you send us

This policy explains how Virtual Assistant Services Team (VAST) handles the information US medical offices share through this website, such as when they request a consultation.

Covers website inquiries only. Please don't send patient details.

Plain-language summary

The short version

  1. 1

    You choose what to share

We collect the details you enter in our forms, such as your name, practice and contact information, along with a note about your workflows.

  2. 2

    We use it to reply

Your inquiry is used to follow up with you and to talk through matching and onboarding a virtual assistant for your office.

  3. 3

    No patient information here

This website isn't the place for protected health information. Leave out patient names, records and anything else that could identify a patient.

Information we collect

When you request a consultation or contact us through this website, we receive the information you type into the form. That can include:

  • Your name and the name of your practice
  • Your email address, and your phone number if you choose to share it
  • Your specialty and the types of support you're interested in
  • Anything you write in the message field about your office's workflows

Like most websites, our site and hosting tools may also record basic technical details when you visit, such as your browser type and the pages you view. These details help the site work properly.

How we use it

We use what you send us to run the conversation you started. That means we use it to:

  • Reply to your inquiry and schedule a consultation
  • Understand your specialty and workflows, so we can discuss matching an assistant to your office
  • Explain onboarding, our flat rate and our pay-as-you-go, cancel-anytime terms
  • Keep the website working and improve how it explains our services

Patient health information

Our website forms are for practice inquiries only. Please don't include patient names, dates of birth, chart details, insurance information or anything else that could identify a patient.

Patient-related work happens only after a practice engages VAST, inside the practice's own systems. Our contractors complete HIPAA certification before placement.

Sharing

We do not sell the information you submit through this website. It is available to the VAST team members who respond to inquiries and arrange consultations.

We may rely on service providers, such as website hosting and form tools, to receive and store submissions on our behalf. We may also disclose information if the law requires it.

Keeping it protected

We limit access to inquiry details to the people who need them to reply, and we keep them only as long as they're useful for that conversation or for our records. No method of sending information over the internet is completely secure, which is one more reason to leave patient details out of website messages.

Your choices

Only your name, practice name and email are needed for us to reply, so the other fields are up to you. If you'd like to correct the details you sent, or ask us to stop contacting you, let us know through our contact page and we'll take care of it.

Scope & updates

This policy applies to this website. Work VAST performs for a practice is covered separately by the agreement between VAST and that practice. Links to other websites, including any EMR vendor, are governed by those sites' own policies.

We may update this page as our services and website change. The version posted here is the current one.

Send the workflow, not the patient

For example, "We're behind on prior authorizations for biologics" is plenty for us to start the conversation. Specifics about individual patients can wait until you've engaged VAST and are working in your own systems.
