From verified credentials to your first day together
Every VAST virtual assistant is verified, trained and prepared before they join your workflows. This page explains how we vet our contractors, what they learn, and how we match and onboard an assistant with your practice.
Nine checks every contractor clears before placement
Vetting happens before an assistant is ever introduced to a practice. The same sequence applies to every contractor, so you know what stands behind each match.
-
1
Diploma checks
We verify each contractor's medical education. Most of our contractors are pharmacists, and their credentials are confirmed rather than taken on trust.
-
2
Background checks
Every contractor completes a background check before they can be matched with a US medical office.
-
3
Professional ID card
Verifies the name and profession of the Healthcare Virtual Assistant.
-
4
HIPAA certification
Each assistant is certified on HIPAA, so the privacy expectations of US patient care are understood before day one.
-
5
Fraud, waste & abuse training
Compliance training for anyone whose work touches documentation, billing or claims.
-
6
Malwarebytes certificate
Each VA is required to maintain active anti-malware and cybersecurity software designed to detect, block, and remove malicious threats.
-
7
Cybersecurity in Healthcare Certificate
Each assistant is certified on keeping patient data and office systems secure in a healthcare setting.
-
8
US EMR training
Contractors train on US electronic medical records, including ModMed, before they are placed.
-
9
Google Workspace & Microsoft 365 training
Assistants are trained in the email, document and calendar tools that most offices already run on.
any introduction
Who you're matched with
Pharmacists first, because medical education matters on the job
Most VAST contractors are pharmacists from the Philippines. Pharmacy education covers medications, dosing and clinical terminology in depth, which helps on a prior authorization, when reading a chart or when answering a patient's medication question.
We also place other medical professionals, but the pharmacy background is where we start.
How we match and onboard an assistant with your office
It starts with a conversation about how your practice actually works, and it continues for as long as the arrangement fits.
-
Step 1Consultation
We learn your specialty, your EMR, the hours you need covered and the tasks you'd like to hand off first.
-
Step 2Matching
We match a vetted assistant to your workflows, whether that's scribing, prior authorizations, billing or patient messages.
-
Step 3Onboarding
Your assistant meets your team and learns your protocols. They work inside the systems and accounts your office provides.
-
Step 4Ongoing support
Work continues at the $10.50 flat rate. You pay as you go and can cancel anytime if it stops fitting your office.
Trained on the tools your office already uses
US electronic medical records
Hands-on training with US EMRs, including ModMed. That covers charting, inbox handling and the everyday workflows of a specialty practice.
Google Workspace
Gmail, shared calendars, Docs and Sheets, so an assistant can work comfortably inside your office's Google setup.
Microsoft 365
Outlook, Word, Excel and Teams, for practices that run on Microsoft tools.
Compliance foundations
HIPAA certification and fraud, waste and abuse training carry through every task an assistant takes on.
ModMed is a trademark of its owner. VAST, LLC is an independent staffing agency and is not affiliated with or endorsed by ModMed.
